Service description and rates
This service description sets out what each rate includes and what it costs. The legal relationship behind it is governed by the terms and conditions.
1. What the service does
Every rate – including the free one – includes:
- upload of PDF documents and of Word, PowerPoint and OpenDocument files
- automatic analysis and tagging to PDF/UA-1 (ISO 14289-1); PDF/UA-2 is selectable per document. In doing so we first convert Word, PowerPoint and OpenDocument files into a PDF, obtain the text of scanned originals through optical character recognition, produce alternative texts for images and adjust colour contrasts. Which of these steps a document goes through depends on the source document.
- the editor for manual review and correction of the result, including alternative texts, reading order and table structure
- a conformance report based on the open-source validator veraPDF
- operation in the EU. Processing outside the EU takes place only where a person with the Owner role switches it on expressly in the account settings; for details see the privacy policy.
Depending on the rate, the following are added: from Team, sharing documents within the team and your own rules for alternative texts; in Enterprise, a dedicated API endpoint, single sign-on (SSO), a local model, operation on-premises or in your own cloud environment (VPC), integration with your document management system, a penetration test and training. The interface is available only under individually agreed Enterprise contracts.
Important: what we owe is the software, not the legal compliance of your documents. What that means is set out in § 4 of the terms and conditions – please read it before choosing a rate.
2. Billing unit: pages
Billing is by pages. One page of the source document counts as one page against the quota, regardless of how much content it carries. For Word, PowerPoint and OpenDocument files the page count after conversion to PDF applies.
Pages are consumed only when you download a tagged document. Uploading, analysis, review and editing in the editor consume no pages. For the AI-assisted functions, the fair-use limits at the end of this section apply.
After the first download the same file stays free for 30 days: you can download it again, upload it again and have it processed again, as often as you like, without further pages being consumed. This holds within your organisation, so also where a colleague works on the same file. What governs is the content of the source file: if you change the file, it counts as a new document. Once the 30 days have passed, a further download is consumed again. For processing a document again, the fair-use limits of the AI functions apply within those 30 days as well.
Fair use of the AI functions
You can use the AI-assisted functions freely. So that individual documents do not place an excessive load on the service, a limit applies per document and per function. Within that limit, use is free and does not count towards your quota. Once the limit for a function has been reached on a document, we tell you and ask once whether you want to continue. From then on, each further use of that function on that document counts one page towards your quota. A call that fails for reasons on our side does not count.
| Function | Free per document |
|---|---|
| Analysis, including re-analyses, restart after cancelling and batch processing | 3 |
| Re-extract a page with AI | 5 or three times the page count, whichever is higher; a shared allowance across all pages of the document |
| Re-extract a table with AI, including drawn tables and tables of contents | 10 |
| Fill an element with AI | 20 or five times the page count, whichever is higher; a shared allowance across all elements of the document |
| Semantic check (SVAR) | 10 |
If your quota is used up and you have not switched on billing beyond it, the function concerned is no longer available on that document; no further costs arise. On the free plan and private access we do not count AI calls towards the quota; there, use of the function concerned on that document ends once the limit is reached.
3. Rates
Prices apply to annual payment. Monthly payment increases the price by 20 %, and the monthly share of the quota is available each month.
Towards businesses, the net prices govern and VAT is added at the statutory rate. Towards consumers, the gross price governs – it includes 20 % Austrian VAT.
| Rate | Net / year | Gross / year | Included pages | Additional pages | Users | Minimum term |
|---|---|---|---|---|---|---|
| Starter | €1,190 | €1,428 | 1,500 | €1.20 / page | 3 | 12 months |
| Team | €3,400 | €4,080 | 5,000 | €1.00 / page | 8 | 12 months |
| Professional | €5,900 | €7,080 | 12,000 | €0.75 / page | 15 | 12 months |
| Business | €17,900 | €21,480 | 48,000 | €0.55 / page | unlimited | 12 months |
| Enterprise | by agreement | by agreement | by agreement | by agreement | unlimited | by agreement |
The minimum term shown in the table applies with annual payment. With monthly payment the term is one month and renews by one month at a time for as long as you do not terminate.
Enterprise is quoted individually; there is no entry price.
4. Quota, carry-over and overage billing
(1) The included quota applies per contract year.
(2) Availability: with annual payment the full annual quota is available from the first day; with monthly payment the monthly quota is available each month.
(3) Carry-over: with annual payment, unused pages carry into the following contract year, up to 25 % of that contract year's quota. Carried pages raise the limit of the period they were carried into; the 80 % notification (paragraph 5) moves up accordingly. They are consumed first and expire at the end of that period. If the contract does not continue, carried pages expire. With monthly payment there is no carry-over; unused pages expire at the end of the month.
(4) Overage billing is switched off by default. Only a person with the Owner role can switch it on and off again. When switching it on, the price per page is shown and a spending cap is set in the same step; without a spending cap, overage billing cannot be switched on. Further pages are then billed at the per-page rate in section 3, up to the spending cap set. If overage billing is not switched on, no further downloads are possible once the quota is used up; you can still upload, process and edit, and nothing beyond the quota is billed.
(5) Decision at 80 %: once 80 % of the quota has been used, you receive an email with four options:
- move to the next larger rate – possible at any time and effective immediately; for crediting see section 8(5),
- switch on overage billing: further pages at your rate's per-page price, within the spending cap set under paragraph 4,
- book a migration package – for a one-off legacy backlog; the rate's quota is not affected (section 6),
- stop at 100 %: once the quota is used up, no further downloads are possible; nothing beyond it is billed.
If you do not reply, the last option applies: downloads are no longer possible once the quota is used up.
5. Page packages (prepaid)
Page packages can be bought individually, without a subscription. They are valid for 36 months from the date of purchase. We remind you by email at least 30 days before expiry, and the expiry date is shown in your account at all times. The time limit exists because page prices and the scope of the service change over time. Where a quota included in your plan and a purchased page package exist at the same time, the quota included in your plan is used first. If you delete your account, any unused page package lapses without a claim to a refund (terms and conditions, § 5(9)).
| Volume | Net | Gross | Validity |
|---|---|---|---|
| 100 pages | €199 | €238.80 | 36 months from purchase |
| 500 pages | €795 | €954 | 36 months from purchase |
6. Migration packages
For one-off legacy backlogs you can book migration packages yourself through Stripe alongside an active rate. They do not count against your plan quota and are valid for 12 months from the date of purchase; for consumers the validity period is 36 months. We remind you by email at least 30 days before expiry, and the expiry date is shown in your account. The shorter period exists because a migration package is a project price for a one-off backlog and is priced significantly lower per page than the running plan. If you delete your account, any unused migration package lapses without a claim to a refund (terms and conditions, § 5(10) in conjunction with § 5(9)). Which packages can be booked depends on the rate; Enterprise can book every package. Larger backlogs are booked as several packages; volumes above 50,000 pages are quoted individually.
| Volume | Net | Gross | Bookable with |
|---|---|---|---|
| 1,000 pages | €600 | €720 | Starter and above |
| 2,500 pages | €1,375 | €1,650 | Starter and above |
| 5,000 pages | €2,250 | €2,700 | Team and above |
| 10,000 pages | €4,000 | €4,800 | Team and above |
| 20,000 pages | €8,000 | €9,600 | Professional and above |
| 30,000 pages | €9,900 | €11,880 | Professional and above |
| 50,000 pages | €16,500 | €19,800 | Business, Enterprise |
7. Free access
(1) Free plan. 30 pages per organisation, once. Results carry a notice of origin. If you use the free plan as a private individual, your documents undergo additional processing for quality improvement, only with your separate consent, see the privacy policy, section 7. If you sign up as a company or a public authority, this processing does not take place.
(2) Private access. Free for people with a visual impairment: 500 pages per month; unused pages expire at the end of the month. Results carry a notice of origin. Access is bound to private purposes; the API and batch processing are not available. Private access is granted on your self-declaration, which you give at sign-up as a contractual warranty; at the same time we obtain your explicit consent under Art. 9(2)(a) GDPR. To be distinguished from it is the consent to the processing of special categories of personal data in the documents you upload; we obtain the two separately (privacy policy, sections 6 and 8). We ask for no proof. In justified individual cases we may ask you to confirm the warranty; if the confirmation does not arrive we move the account to the free plan – the account and the documents remain, and a confirmation provided later restores access (terms and conditions, § 7(6) and § 6(6)). Places are limited in phase 1. If the quota is not enough, write to us; we handle hardship cases individually.
8. Term, renewal, termination
(1) The minimum term follows from section 3 and applies with annual payment. With monthly payment the term is one month. It starts on activation. There is no notice period: you can terminate at any time during the current term, and the termination takes effect at the end of that term. With monthly payment the contract is therefore terminable monthly.
(2) A contract with annual payment renews for twelve months at a time unless it is terminated by the end of the term. At least 30 days before the end of the term we tell consumers separately, in text form, that the contract renews, by when it can be terminated, for what period it renews and what fee the renewal carries. If that notice is not given, the contract does not renew.
(3) Notice in text form is sufficient (email to doclarity@klartext-ai.com). You can also terminate at any time in your account settings.
(4) After the contract ends you have 30 days to download your documents.
(5) A move to a larger rate is possible at any time and takes effect immediately. Pages already used are credited against the new quota, and the unused share of the fee already paid is credited against the new rate.
(6) A move to a smaller rate takes effect at the end of the current contract term. You can notify it at any time up to the end of the term, in text form or in your account settings. With monthly payment it takes effect from the following month.
9. Support
Starter, Team and Professional: email support. Business: named contact person. Enterprise: project team. Free plan and private access: email, with no committed response time.
10. Changes to fees
(1) We may adjust charges once a year, at the earliest after the minimum term has ended. The benchmark for a unilateral adjustment is the development of the consumer price index (VPI 2020) published by Statistics Austria. Paragraph 2 sets out the conditions under which adjustments beyond that are possible. For consumers, we make an adjustment at the earliest two months after the contract was concluded.
(2) We give notice of any adjustment in text form at least eight weeks in advance. If the index rises, charges rise in the same proportion; if it falls, we reduce them in the same proportion.
For consumers this is the limit: an adjustment is made solely to the extent of the index development. Any change to charges going beyond that is agreed with you; without your agreement the previous price continues to apply.
For businesses we may also adjust charges beyond the index development. In that case you may terminate the contract with effect from the date the adjustment takes effect; we point this out in the notice.
(3) If we lower a price during your contract term, the lower price applies to you automatically. A price increase, by contrast, takes effect at the next renewal at the earliest.
11. Consumer information
Consumers have a fourteen-day right of withdrawal. You can declare the withdrawal in text form or through the “Withdraw from contract” button in your account. So that the service is usable immediately, during checkout we obtain your request for performance to begin early and your acknowledgment of the resulting loss of the withdrawal right, in a separate field that is separate from your acceptance of the terms and conditions. If you do not make these declarations, the service starts automatically on the day after the withdrawal period ends; the first charge and the start of the term move to that day. Details: withdrawal policy.
